1. Who we are
This website and our services are operated by Marketect Pro LLC ("Marketect Pro", "we", "us"), a business-to-business outbound and founder authority agency registered in Montana, United States. Our address is 1001 S. Main St. STE 500, Kalispell, MT 59901, United States. For any privacy question or request, contact us at info@marketectpro.com.
This policy explains what personal data we handle, why, and the choices you have. It applies to visitors of this website, people who contact us or book a call, our clients, the business prospects we contact, and our vendors.
2. Our two roles
- As a controller: we decide how and why personal data is used for our own business, for example when you visit this website, request a resource, book a call, become a client, or when we contact businesses about our own services.
- As a processor or service provider: when we run outbound campaigns for a client, we process prospect data on that client's behalf and under their instructions. In that case the client is usually the controller, and their privacy policy also applies.
3. Information we collect
Website visitors
Our hosting provider automatically records basic technical data such as IP address, browser and device type, pages requested and the date and time of the visit. We use this to run and secure the website. We do not currently use analytics, advertising or tracking tools on this website.
People who contact us, book a call or request a resource
Your name, work email, company, job title, company website and anything you choose to share in a form, booking or message, plus the details of any call we hold with you.
Clients
Business and contact details, contracts and billing records, campaign instructions and approvals, files and communications, and, where a service requires it, access to tools such as mailboxes, calendars or CRM systems.
Business prospects
When we run outbound for our clients or for ourselves, we process professional information about people acting in a business capacity: name, job title, employer, work email, business phone number, professional profile URL, company information, location, publicly available company signals, outreach history, replies, opt-out status, and meeting or qualification details.
Vendors and contractors
Names, contact details, contracts, payment records and the information needed to give them access to the work they do with us.
4. Where it comes from
- Directly from you, when you fill in a form, book a call, email us or work with us.
- From our clients, when they share target lists, suppression lists or CRM data for a campaign.
- From publicly available business sources, such as company websites, professional networks and public directories.
- From licensed business-data, enrichment and email-verification providers.
- Automatically, through our hosting provider's server logs.
5. How we use it
- To respond to enquiries, hold the calls you book and send the resources you request.
- To deliver our services to clients, including research, outreach, reply handling, meeting booking and reporting.
- To contact businesses that may benefit from our own services.
- To manage contracts, invoices and our relationships with clients and vendors.
- To record and respect opt-outs, so people who ask not to be contacted are not contacted again.
- To keep our website and systems secure, and to meet our legal obligations.
We never sell personal data.
6. Legal bases (UK and EU)
Where the UK or EU General Data Protection Regulation applies, we rely on: your consent, for example when you request a resource (you can withdraw it at any time); the performance of a contract with you or your company; our or our client's legitimate interests in business-to-business communication, provided they are not overridden by your rights; and our legal obligations. Where we rely on legitimate interests for outreach, we contact people only in a professional capacity, about matters relevant to their role, and always with an easy way to opt out.
7. Prospects and outbound outreach
If you received a message from us or on behalf of one of our clients, this section explains how we handled your information.
- We use only professional information relating to your role in your company.
- The information came from the client we work for, from publicly available business sources, or from licensed business-data providers.
- When we act for a client, the client decides who is contacted and why, and is usually the controller of your data.
- Every message gives you a simple way to opt out. You can also reply to any message or email us directly.
- When you opt out, we add your details to a suppression list so you are not contacted again by us, or by us on behalf of the same client. We keep that minimal record for as long as needed to honour your request.
To ask where your information came from, or to correct, delete or stop the use of it, email info@marketectpro.com with the subject "Privacy request".
8. AI tools and call recordings
We may use AI-assisted tools to help research companies, draft and review messages, and summarise calls. Where available, we choose providers and settings that do not use our data to train their models, and a person on our team reviews the output.
We may record or transcribe calls to keep accurate notes. We tell participants before recording, and you can ask us not to record a call.
9. Who we share it with
We share personal data only where needed, with:
- Our clients, for prospect data relating to their own campaigns, such as replies and booked meetings.
- Service providers that help us run our business: website hosting, scheduling, email and outreach platforms, CRM, business-data and verification providers, AI tools, file storage, and invoicing or payment tools.
- Professional advisers, and authorities where the law requires it.
Our service providers process personal data on our instructions and under their own security and confidentiality commitments.
10. International transfers
We work with clients and prospects around the world, and our team and providers operate in several countries, including the United States. Your data may therefore be processed outside the country where you live. Where data from the UK or European Economic Area is transferred, we use appropriate safeguards, such as the European Commission's standard contractual clauses or equivalent measures offered by our providers.
11. How long we keep it
- Enquiries and calls: for as long as needed to respond, and up to two years afterwards unless you become a client.
- Resource sign-ups: until you unsubscribe or ask us to delete your details.
- Client records: for the length of the engagement and afterwards as required for legal, tax and accounting purposes.
- Prospect data from client campaigns: for the duration of the engagement, after which it is returned to the client or deleted, as agreed with them, except for suppression records.
- Suppression records: kept for as long as needed to make sure opted-out people are not contacted again.
- Server logs: for a short period, as set by our hosting provider.
12. Security
We protect personal data with access controls, encrypted connections, reputable providers and limited access for our team on a need-to-know basis. No system is completely secure, but we take reasonable steps to keep your information safe and to act quickly if something goes wrong.
13. Your rights
Depending on where you live, you may have the right to:
- Know what personal data we hold about you and where it came from
- Correct inaccurate data
- Have your data deleted
- Object to, or restrict, how we use it
- Receive a copy in a portable format
- Withdraw consent at any time
- Opt out of marketing and outreach
To make a request, email info@marketectpro.com with the subject "Privacy request". We may ask you to confirm your identity, and we respond within 30 days. If we processed your data for a client, we will pass your request to them or help them respond. If you are in the UK or EU, you can also complain to your local data protection authority.
14. Marketing and outreach opt-outs
You can stop receiving emails from us at any time by using the unsubscribe or opt-out option in the message, replying to tell us, or emailing us. We action opt-outs promptly and keep a suppression record so they stay effective.
15. Cookies
This website does not currently use analytics, advertising or tracking cookies. Our scheduling tool may set cookies needed for booking to work. If we add analytics or advertising tools in future, we will update this policy and, where the law requires it, ask for your consent first.
16. Children
Our website and services are intended for businesses. We do not knowingly collect personal data from anyone under 16.
17. Changes to this policy
We may update this policy as our services or the law change. The latest version will always be on this page, with the date it was last updated.
